Digitalisation of permits and declarations — how to employ a foreigner via praca.gov.pl

The new act introduced full digitalisation of foreigners' employment matters. We show where and what you file online, how to set up an organisation account and which obligations to complete in the system after hiring.

1. What digitalisation involves

The new act introduced full digitalisation — declarations and applications for a work permit are filed through the praca.gov.pl ICT system; appeal proceedings are electronic as well.

3. Organisation account

Company handling requires an organisation account on praca.gov.pl; access can be granted to the HR department. Login and signature: trusted profile, e-ID or qualified electronic signature.

4. Obligations after hiring

Remember: after hiring — also through the system — you submit the contract and notify the start of work (as a rule within 7 days). See the contract obligation and sanctions.

How to file a document

Log in to the organisation account, select the form (from 1.01.2026 the new application names apply), fill in the data and attachments, pay the fee, sign and send; keep the official confirmation of submission.
